MISSION STATEMENT
 
The Institute for OneWorld Health develops safe, effective and affordable new medicines for people with infectious diseases in the developing world.
 
POSITION SUMMARY
 
The Senior Administrative Assistant will play a key role in supporting the Legal and Business Development (BD) team and Office Manager. S/he handles scheduling, and is responsible for maintaining accurate, accessible, and retrievable files related to potential business development matters, agreements, grants and other matters, as appropriate. Acting as a liaison between the Legal/BD department and internal and external contacts, the Assistant completes a variety of administrative responsibilities including filing, photocopying, and mailing. S/he may also handle travel, expense reports and invoices for the Legal and Business Development team. The ideal candidate will be dynamic, high-energy, extremely organized, detail oriented and able to support cross-functional coordination between programs and departments and possess excellent judgment.
 
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following; other duties may be assigned.
 
  • Collects and prepares information for use in meetings, submissions, mailings, and presentations
  • Assists with the maintenance of business development files and contacts
  • Maintains filing system and database for contracts, including related correspondence, reference materials, confidential data/information and other material
  • Creates and maintains other matter files, as appropriate and as requested
  • Assists in mail pick up and distribution to mailboxes
  • General administrative/facilities duties to support the Legal and Business Development team as well as the Office Manager
  • Handles confidential and non-routine information

Job Requirements:

ESSENTIAL QUALIFICATIONS
 
  • At least 3-5 years experience supporting executives/management
  • Ability to work independently
  • Excellent communication skills, both verbal and written, for internal and external communication
  • Flexibility and willingness to multitask
  • Excellent time management skills
  • High level of confidentiality and professionalism
  • Individual must be a team player
  • Proficient with Microsoft Office a must; experience with DeltaView, Microsoft Project, and other databases desirable
  • Legal and Biotech/pharmaceutical background desirable
