POSITION SUMMARY
The Project Assistant working under the direction of the Vice President, Research and Development, supports all projects and grants in the R&D portfolio. Project Team Leaders, Managers and Coordinators rely on the Assistant for a variety of activities directly related to completing grant milestones and reporting.

This person is responsible for coordination of activities across the portfolio including, but not limited to travel arrangements and expense reporting, conference and meeting planning, technical editing of project documents, creation and editing of project presentations, managing the grant files, both hard copy and electronic. Depending on the scope of the activity, the Assistant may need to interact with a variety of project staff including but not limited to the Project Team Leader, Project Managers, other PCs, etc. S/he specifically identifies and coordinates project-related priorities, applying standard project management tools, processes and principles to meet timelines and budgets.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following; other duties may be assigned.
  • In collaboration with project staff and team members, support the tracking of goals and objectives for projects in the portfolio
  • Work with project staff to make timely and affordable travel arrangements that abide by company policies; ensure travel expense reports are coded, approved and processed in a timely manner
  • Organize meetings, both internal and external; provide logistical support to all attendees
  • Communicate with a variety of internal and external stakeholders, take and deliver messages, provide information to callers regarding the projects; prepare communication for mailing/sending, sort in-coming mail for projects
  • Collaborate with the Project Management staff to support creation, editing and finalization of project-related information (i.e. reports, proposals, updates, issues, and recommendations for senior management, partners, and funders, etc)
  • Maintain domestic and international teleconference accounts for all projects
  • Manage administrative accounts for projects (like FedEx, Intercall etc.) to ensure adequate coding/approval and timely payment
  • File and organize project documentation using existing processes and systems
  • Ensure projects are appropriately supplied; manage purchase orders
  • Assist with special projects as required

Job Requirements:

ESSENTIAL QUALIFICATIONS
  • High school diploma or equivalent
  • Minimum 5 years related experience
  • Demonstrated experience with project management software applications and tools including MS Office Suite, MS Project and EndNote
  • Professional discretionary skills; ability to understand and deal with sensitive and confidential matters
  • Strong organizational skills
  • Flexible; ability to adapt to changing priorities
  • Solid communication skills; verbal, written, interpersonal, listening
  • Time management; schedules, ability to prioritize and multi-task
  • Team-oriented
  • Strong attention to detail and accuracy
