The Institute for OneWorld Health develops safe, effective and affordable new medicines for people with infectious diseases in the developing world.
PROJECT SUMMARY
The Manager of Operations manages the operational and administrative activities necessary for the daily operations of the Liaison Office [LO], New Delhi. S/he provides planning, supervision, and coordination to personnel and operations in a manner that will optimize the LO operational activities, efficiency, promoting the organization’s mission and goals, and resulting in outstanding department service. The MO will provide operational oversight for the implementation, maintenance, and reporting of all operational activities. The MO interacts with multidisciplinary Clinical and Access project teams to help facilitate timelines and ensure adherence to upper management strategies. S/he will also manage the logistical activities of external partners involved in visits to the region.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.
- Establish department goals with assistance of the Deputy Director of Operations & Administration (DDOA);
- Conduct department planning and reporting meetings on a regular basis;
- Establish and communicate department goals and results to the DDOA;
- Support operations and administration staff professional development;
- Uphold cooperative policies, guidance, and procedures;
- Uphold the department budget and timelines;
- Ensure the elaboration, implementation and monitoring of the operational work plans for the LO;
- Ensure operational procedures and facilities are monitored for safety and no staff is put unduly at risk while performing tasks in the LO;
- Manage the core operations and administrative functions for the smooth running of the daily operations for the Liaison Office, New Delhi;
- Manage inter-departmental operational functions providing team leadership and operational staff cohesiveness;
- Manage the facility maintenance and directs the staff overseeing the LO lease agreements;
- Manage any adjustments to staff work assignments to meet the department goals and timelines;
- Develop and maintain a regular maintenance schedule for all department facilities and leasehold equipment;
- Provide quality control for all LO operations and administration procedures for procuring supplies and equipment for the office or office related events;
- Ensure that emerging policy issues are responded to promptly through collaboration with senior iOWH management;
- Ensure the sharing of experiences regarding methodologies, interventions, activities etc. within the regional teams:
- Ensure the recording and development of lessons learned;
- Advise the regional teams on strategies to build up operational and information networks;
- Respects confidentiality in discussing participant/consumer, staff, volunteers and organizational matters;
- Maintains confidentiality of organization fiscal and personnel related information;
- Maintains a thorough working knowledge of and adheres to organization/project policies, regulations and procedures;
- Keeps immediate supervisor well-informed of activities, results of efforts and problems identified/potential problems; recommends corrective actions to immediate supervisor;
- As needed, informs DDOA in advance as to operations systems and facility equipment are not functioning properly;
- Performs routine office tasks necessary for the operation and presentation of a professional office as observed by the supervisor;
- Exhibits genuine concern for participants and always conducts oneself appropriately and professionally;
- Reports to work regularly and on time;
- Assists in other duties as needed and directed;
- Support possibilities for capacity building and institutional strengthening
Job Requirements:
ESSENTIAL QUALIFICATIONS
- Bachelors Degree, preferably in Business Administration with emphasis in operations management, logistics or general business preferred.
- Minimum of 8-10 years previous experience in administration.
- Skills in organization and planning, problem solving/decision-making, communication, working relationships, and technical expertise.
- Exceptional people skills and the ability to work in a team environment.
- Strong communicator with excellent written/spoken English and Hindi
